Capture and manage receipts with True Link. Tracking and recording your Cardholder’s paper receipts is now easier and faster with Receipt Upload, now available on your True Link dashboard.
How the Receipt Upload feature works:
Cardholders and Administrators with full access or assistant access can upload receipt images to a transaction in the mobile app. To download the Receipt Guide for Cardholders, download the PDF attached to the bottom of this article.
Cardholders and Administrators can then view uploaded receipts from the mobile app or the True Link website/online dashboard.
Administrators can download receipts along with Transaction Reports and Monthly Statements directly from the Reports tab of the online dashboard. It is not yet possible to download these reports from the mobile app.
How to upload receipts
- Log in to the Mobile App
- Tap the transaction you would like to upload a receipt to
- Tap “+Upload New”
- Tap your preferred upload method:
- Take a photo with your camera
- Select from camera roll
- Upload a file
- Take a photo of your receipt, select the receipt image from your camera roll, or select the receipt image from your files, then tap “Use photo.” You will see a green message pop up at the bottom of your screen that says “Uploading your document . . .”
- You will now see your file with three blue dots next to it and below it, an option to “+Add another attachment.”
- Select the three blue dots to the right of the image file to:
- View attachment
- Remove attachment
- When viewing transactions, you will see a paperclip icon next to each transaction that has a receipt associated
As the Card Administrator, it is also possible to upload a receipt from the True Link online dashboard:
- Navigate to the ‘Transactions Tab’ of the Cardholder’s dashboard.
- Locate the transaction for which you would like to attach a cardholder’s receipt and click the green “Transaction Details” button to the right.
- Towards the bottom of the module you will see a section labeled “Receipts”. Click the blue +Add receipt link and select the file you would like to attach from your desktop.
- Click “Open” to save the receipt.
How to view receipts
From the mobile app:
- Navigate to the Cardholder’s transactions page by tapping “See all transactions”
- Transactions with receipts uploaded to them will appear with a paperclip icon and the words “Uploaded”
- Tap on the transaction to view the transaction details
- Towards the bottom of the screen, you will see the receipt file, tap on the three horizontal blue dots, and then “view receipt” to view the receipt from the mobile app
From the True Link online dashboard:
- Navigate to the ‘Transactions Tab’ of the Cardholder’s dashboard
- Transactions with receipts uploaded to them will appear with a paperclip icon and the words “Uploaded.” Click on the transaction to view the expanded transaction details
- Towards the bottom of the description, you will see Receipts: the file name, the date and time the receipt was uploaded, and by whom, as well as options to view, download, delete, or add another receipt
- Click “View” to view the receipt
Receipt reporting
Receipt reporting is currently only available on the True Link online dashboard, from the Cardholder’s ‘Reports’ tab. Receipt reports are not yet available from the mobile app or the All Card Accounts ‘Reports’ tab at this time.
Transaction Report
Administrators have the option to ‘Include receipts in report export.’ Doing so will allow you to download a zip file containing both a folder with all the uploaded receipt images for the selected time period in addition to the spreadsheet with the Cardholder’s transactions.
Monthly Statements
Administrators have the option to ‘include receipts in statement export.’
- Download as Spreadsheet: A zip file containing both a folder with all the uploaded receipt images for the selected time period in addition to the spreadsheet with the Cardholder’s transactions will be downloaded
- Download as PDF: A PDF file will be downloaded with the receipt images included in the final pages of the statement.
It is also possible to upload receipts directly to folders from the ‘Reports tab’. Uploading in this way does not connect the receipt to the relevant transaction. Instead, this option is available in case you would like to track a receipt that is over a year old. Because the ‘Transactions tab’ only reflects transactions that occurred in the past 12 months, it is not possible to connect a receipt to its associated transaction if it is more than a year old.
